The job costing requirements begin when a quote is prepared. There are 2 types of quotes:

Fixed Job/Default Bill of Materials (BOM)

This job costing is based on a "pro forma" approach where a table of contents is held. The table lists the entire standard parts and other costs for each applicable job.

The default BOM needs to be created with the quantities, times, unit costs and labour rates. When this default BOM is completed, it is saved for use as many times as required. Any number of default Bill of Materials tables may be created at any time.

Standard Bill of Materials (BOM)

A job code file is used for reference information gathered on the job costing being processed. It is a background file containing all the elements for travelling, vehicles, professional and labour services with the ability to introduce new cost centres.

It is necessary to selectively process each job. Quotes that proceed need to be passed on in the system to produce invoices and the transaction data updates the files such as customers, jobs and sales.

The background file/s will contain details of cost and sales value of:

PRODUCTS
TRAVELLING
VEHICLE
DESIGN
PROFESSIONAL
LABOUR

Jobs and BOM’s

As each of the elements are drawn together to form a job, the actual job details will need to be stored in a job costing file.

The basic structure is that each job is made up of several BOM’s. A job total displays the entire status of the job. The job screen shows summaries by the value of each BOM, which are listed by line. Each line can then be broken down to the full BOM detail.

Inventory

As requisitions are processed it updates the stock on hand. This effects reordering processing immediately.

Invoicing

When an invoice is processed, the job may be selected and the sale value is transferred showing the amount of billings against this job. Work in progress values are maintained for the control of all jobs.
